How we saved a COO from a mental breakdown — and saved 3 hours a week
Problem
Every week a Google Sheet arrived from the Netherlands with a list of accommodation payment arrears — hundreds of rows that had to be manually typed up into emails and sent to individual employees. Two to three hours of intensive, repetitive work, errors, typos, and the occasional email sent to the wrong address. Nobody wanted to do it — and Jirka, the COO, made that very clear.
What we did
We built an automation in Make that took over the entire process. The agency uploads the spreadsheet to an agreed folder on Google Drive — and that's it. The system downloads the file, checks the format, goes through the rows, generates a personalised email for each employee based on the amount owed, and sends everything out. The whole process runs automatically without a single human action.
Result
Every Friday the emails go out correctly, on time, and without errors — while the team does something more meaningful. Employees respond within minutes, money is recovered faster. And Jirka is doing fine.
