Problem
CEO Honza only had monthly P&L reports from his accountant. Once a year he'd lock himself in the office for several days, enter everything into Excel, and only then find out how the company was really doing. Cashflow was a black box — nobody knew when money would arrive from corporate clients on 90-day payment terms, what was in the pipeline, or where a cash crunch might hit.
What we did
We started with an offline workshop mapping the entire app stack (Fakturoid, Asana, Raynet) and how Santia thinks about finances. We designed three levels of overview — Forecast (outlook), Plan (confirmed but future), and Real (what's already happened). We chose Airtable as the central database, syncing data via Make: invoices, costs, projects, and deals. We moved proposal creation from Excel into Airtable — each proposal immediately shows up in the financial overview as planned revenue. We built a separate read-only app for project managers to track their budgets.
Result
Santia now has a live cashflow overview 24/7 — no waiting on the accountant, no annual Excel marathon. Management can see which projects make money, when a liquidity gap might hit, and what's in the pipeline. Project managers have visibility into their budgets. Data flows directly from source systems — errors are gone.
